Bee Base Passing data to Bee Base
There is now a facility to share limited data from ER2 with Bee Base. As eR2 membership has developed, some local associations have asked for a link to be created for those associations who wish to participate; this would allow consenting members to share their contact details with the NBU.
For associations who wish their members to be given the opportunity to pass their contact details to BeeBase, each member, on renewal or initial joining, will be asked (by ticking the relevant box) if they wish their data to be transferred. No data will be passed without the member giving their permission.
Action required by local associations
The Association must decide if it wishes to allow its members to share their data with BeeBase. In common with other GDPR based decisions, this authority is at the ‘legal entity’ level. For most associations with a county and branch structure this is at the county level. There are some counties who are ‘federated’ and in these cases these legal decisions are taken at local level. For single tier associations this distinction does not apply and you will see the relevant box on your association record. You will need to be an Approver or Manager to make this change
- Beebase will only get data transferred if the member is a Registered member. The logic being that they are interested in apiaries primarily – and by definition Partner members work the same apiary. Local & Country members have no bees. Schools, Juniors and BBKA / WBKA honorary members may or may not have bees.
This prevents questions from members asking ‘why am I being asked about BeeBase when I don’t have any bees?’
- Online renewals will only present the BeeBase authority question to Registered members. If a member submits a change on their renewal form to go from say a Local to a Registered member, they will not be given the option of the data transfer at this renewal. They will however be given the option at a subsequent renewal, as then they will ‘present’ at renewal in the right category. I realise this builds in a delay for this category, but again it keeps it simple for the majority.
- New online applications will work slightly differently, as often people join as a Local member, and then upgrade during the season as they get bees. The form will therefore ask the question irrespective of class of member, but the dialogue in the blue panel will explain that data will only be transferred if they are a registered member.
In this case, if they give permission and join as a local member, the permission will still be stored and if they upgrade during the season the data transfer will then be activated.
In this latter case, new members are captured as they upgrade rather than waiting until year 2.
The view was taken as, unlike those members in point 2, there are quite a few in this category and it is worth asking for their permission as they join.
Once a member is registered on BeeBase they should continue to update their record for apiary locations as these are not recorded in eR2.
